Privacy Policy

How we handle your information & keep things transparent

Last updated: December 2024

Look, we get it - privacy matters

Nobody likes reading these things, but we've tried to keep it real and straightforward.

Here at Ignithral Quinthor, we're architects who care about building trust just as much as we care about building sustainable structures. This policy explains what info we collect when you visit our site or work with us, and honestly, what we do with it.

We're based in Toronto, Ontario, so we follow Canadian privacy laws (PIPEDA, to be specific). But really, it's just about being decent humans who respect your data.

What Information We Actually Collect

Stuff You Give Us Directly

When you reach out through our contact forms or email us about a project, we'll obviously get:

  • Your name and how to reach you back (email, phone number)
  • Company details if you're representing an organization
  • Project information and whatever specifics you share about what you're looking to build
  • Any files or documents you send our way - sketches, site photos, that sort of thing
Technical Stuff That Gets Collected Automatically

Like pretty much every website out there, we collect some technical data when you browse around:

  • IP address and general location info (nothing creepy, just city-level stuff)
  • Browser type and device you're using
  • Which pages you visit and how long you hang around
  • Where you came from (like if you clicked a link from another site)
Project Collaboration Data

If we're working together on a project, we might also need:

  • Site access details and property information
  • Meetings notes and communication records
  • Design preferences and feedback you share
  • Budget and timeline information

How We Use Your Information

We're not here to spam you or sell your data to sketchy third parties. Here's what we actually do with it:

Responding to Inquiries

Getting back to you about projects, questions, or consultations you've asked about

Project Delivery

Actually doing the work - creating designs, managing timelines, coordinating with contractors

Site Improvements

Making our website better based on how people use it

Occasional Updates

Sending relevant info about new services or completed projects (only if you've said it's cool)

Legal Stuff

Meeting our legal obligations as a professional architectural firm

Portfolio Showcase

Featuring completed projects (with your permission, of course)

Who We Share Data With (Spoiler: Not Many People)

We don't sell your info. Period. But sometimes we need to share it with folks who help us do our job:

About Cookies (The Digital Kind)

Yeah, we use cookies - not the chocolate chip kind, unfortunately. These are small files that help our site work better and remember your preferences.

Essential Cookies

These keep the site running. Can't really turn these off without breaking things.

Analytics Cookies

Help us understand which pages are popular and where people are clicking. We use this to improve the site layout and content. You can opt out of these if you want.

Preference Cookies

Remember your settings so you don't have to keep selecting them every visit.

Control Your Cookies: Most browsers let you block or delete cookies through their settings. Just know that some parts of the site might not work as smoothly if you do.

Your Rights - You're in Control

Under Canadian privacy laws (and just basic respect), you've got rights when it comes to your data:

1
Access Your Data

Ask us what information we have about you. We'll send you a copy.

2
Correct Mistakes

If something's wrong or outdated, let us know and we'll fix it.

3
Delete Your Info

Want us to remove your data? We'll do it, unless we legally need to keep it (like for completed projects with contracts).

4
Opt Out of Marketing

Don't wanna hear from us? No hard feelings. Just click unsubscribe or shoot us an email.

5
Get a Copy to Take Elsewhere

Request your data in a format you can use somewhere else (data portability).

How We Keep Your Data Safe

We take security seriously. Here's what we do to protect your information:

  • All data transmitted to our site is encrypted (that's the HTTPS lock icon you see in your browser)
  • We use secure cloud storage with regular backups
  • Only team members who actually need access to your info can see it
  • We regularly update our systems and software to patch any vulnerabilities
  • Physical documents are stored in locked cabinets at our Toronto office

Real talk though: No system is 100% bulletproof. We do everything we reasonably can to protect your data, but we can't guarantee absolute security. If there's ever a breach that affects you, we'll let you know ASAP.

How Long We Keep Your Data

We don't hold onto your information forever. Here's our general approach:

  • Inquiry data: If we don't end up working together, we'll keep your initial inquiry for about a year, then delete it
  • Project data: For actual projects, we're required to keep architectural records for 10 years (Ontario regulations). After that, we'll archive or securely dispose of it
  • Marketing communications: Until you unsubscribe or ask us to stop
  • Website analytics: We keep these for about 2 years to spot trends

If you specifically ask us to delete something earlier, we'll do our best to accommodate (within legal limits).

Third-Party Links

Sometimes we link to other websites - maybe a supplier's site, a case study, or partner organizations. Just so you know, we're not responsible for their privacy practices. Once you click away from our site, their policies apply, not ours.

Always a good idea to check their privacy policies too if you're concerned.

Changes to This Policy

We might update this policy from time to time as our practices evolve or laws change. When we do, we'll update the "Last Updated" date at the top of this page.

For major changes, we'll make it obvious on our homepage or send an email to active clients. We won't suddenly start doing something drastically different with your data without letting you know first.

Questions? Concerns? Just Wanna Chat About Privacy?

We're here to help. Seriously, if anything in this policy is unclear or you want to exercise any of your rights, just reach out.

You also have the right to file a complaint with the Office of the Privacy Commissioner of Canada if you think we've mishandled your personal information.

Bottom Line: We respect your privacy because we'd want the same respect if roles were reversed. We collect what we need to do our job well, we protect it carefully, and we're transparent about what we do with it. If you ever have doubts or questions, we're just a phone call or email away.
